Using IntelliTrack for QuickBooks Desktop
The Plugin tracks inventory levels for inventory part items from QuickBooks when an item is adjusted in inventory. It posts purchase orders and creates item receipts for them and it posts sales orders and creates invoices for them. After the Plugin settings are in place and the dataset between QuickBooks and IntelliTrack is established, you are ready to start using the Plugin to:
- Import QuickBooks inventory of inventory-part type items into IntelliTrack.
- Export inventory adjustments from IntelliTrack to QuickBooks.
- Process order adjustments from IntelliTrack to QuickBooks.
Note: In order for the inventory and order information to flow between QuickBooks and IntelliTrack, the following settings must be in place: connection to the QuickBooks company file, the Plugin configuration settings, and establishment of the initial dataset.
Integrating the Applications
Make sure that all of the setup is complete before using the Plugin to import inventory, export inventory adjustments, and work with purchase and sales orders.
Syncing Data
The Plugin syncs the data between IntelliTrack and QuickBooks.
- Once you have set up the Plugin and the configuration options, the updates between IntelliTrack and QuickBooks are continual per your settings as long as the company file in QuickBooks is available.
- If the QuickBooks company file is not available, transactions that are occurring in IntelliTrack will not update in QuickBooks. However, the transactions are posted in the Invoice/Receipt list and will update QuickBooks the next time it is opened.
- If the Plugin Host Utility or the Plugin Host Services are not running, QuickBooks will not share data with IntelliTrack. However, after they are restarted, the next time IntelliTrack is opened, the Plugin will sync the data with QuickBooks according to the QuickBooks Plugin settings.
Note: When you are ready to sync the data automatically, set the Sync Interval in the Plugin to enable the automatic sync interval.
