IntelliTrack for QuickBooks® Desktop Synchronization Options

By using the Plugin, the following data may be synchronized from QuickBooks with IntelliTrack:

Important: For best results, before syncing data with the Plugin, the configuration options, QuickBooks settings, and IntelliTrack settings should be in place.

Auto Synchronization

The Plugin will automatically sync this data at a specified interval if you set an auto sync interval (see "Auto Synchronization"). You may also sync the data manually at the Synchronization tab.

Manual Synchronization

Data may be manually synchronized via the Plugin. This is useful when initially setting up the dataset between IntelliTrack and QuickBooks or if you need to verify that the data is in sync while working with the inventory and orders in IntelliTrack and QuickBooks.

  1. The data is manually synchronized at the Synchronization tab.
  2. Select the Synchronization tab to bring it to the front.

  1. By using the Plugin, the following data may be synchronized from QuickBooks with IntelliTrack: units of measure, items, vendors, receiving orders, customers, and picking orders. The inventory data is imported from QuickBooks into IntelliTrack. The inventory adjustments are exported from IntelliTrack to QuickBooks.
  2. To synchronize data, import the inventory, or export inventory adjustments via the Synchronization tab, click the applicable button.
  3. The status bar along the bottom of the Plugin notifies you when the import is complete.

Synchronization Options

Option

Description

Synchronize Unit of Measure

Click to manually import QuickBooks units of measure into IntelliTrack. The units of measure in QuickBooks will populate the Units of Measure grid at the Manage Lookups page.

Synchronize Items

Click to manually import QuickBooks items into IntelliTrack. The inventory part items will be imported into IntelliTrack. They are placed in the Item list for the selected division at the Manage Items page.

  • Item Number: correlates to the QuickBooks Item Name/Number field.
  • If an inventory part type item is a sub part in QuickBooks, the item sub part will import into IntelliTrack in this format: Part Number: Sub Part Number.
  • If the item is inactive, it will be imported into IntelliTrack.
  • An inactive item cannot contain inventory in IntelliTrack. If an item is marked as inactive in QuickBooks after it has been imported into IntelliTrack, when this item is synchronized again, it will be marked as inactive in IntelliTrack and an inventory adjustment will be performed at this time, which will adjust the inventory for this item to zero in IntelliTrack.
  • Item Description: correlates to the Description of Purchase Transactions field.
  • If the item does not contain a unit of measure, it will use the default unit of measure set in the Basic Configuration tab.
  • Units of Measure ON for the division: All QuickBooks inventory items are imported into IntelliTrack. Each unit of measure is imported for the item.
  • Units of Measure OFF for the division:All QuickBooks inventory items that contain a single unit of measure are imported into IntelliTrack. QuickBooks items that contain multiple units of measure are not imported into IntelliTrack.
  • Reorder points, as configured in QuickBooks are imported for the item for either a single site or multiple sites if the IntelliTrack site uses Reorder Points (the Min Max Values for a site.)
  • Single Site: When importing item reorder points into IntelliTrack, the item’s minimum quantity is set to 1; the items’ reorder quantity is set for the item from the item reorder point qty in QuickBooks. The item’s maximum quantity is set from the item reorder point qty in QuickBooks if the maximum quantity is less than the reorder quantity.
  • Multiple Sites: When importing item reorder points into IntelliTrack, the reorder point quantity for the item, by site, is imported. However, the item’s maximum quantity is set from the item max quantity in QuickBooks (not the max quantity for the item, by site), if the item’s maximum quantity is greater than the reorder quantity for the item, by site.
Import Inventory

Click to import QuickBooks inventory for the inventory part items into IntelliTrack. The inventory items are sent to IntelliTrack and may be found at the Inventory Data page.

  • If not using the Multiple Sites feature, the inventory will be placed in the Division-Site-Location selected in the Basic Configuration tab.
  • If using the Multiple Sites feature, the QuickBooks inventory will be placed in the IntelliTrack Division-Site-Location selected for the QuickBooks site at the Multiple Sites tab.
  • Inventory for an inactive item is not imported.
Export Inventory Adjustments

Important: In order to export inventory adjustments you must select a QuickBooks Inventory Adjustment account in the Basic Configuration tab.

Single Site: Click to export inventory adjustments for inventory part items from IntelliTrack to QuickBooks.

Multiple Sites: If using the Multiple Sites feature, the inventory will be placed in the QuickBooks site that corresponds to the IntelliTrack Division-Site-Location as set in the Multiple Sites tab of the Plugin.

Synchronize Vendors

Click to manually import QuickBooks vendors into IntelliTrack. The vendors will populate the Vendor list found at the Manage Vendors page.

Important: The fields in the vendor record in QuickBooks are mapped to specific fields in the vendor record in IntelliTrack. For best results, we recommend that you check the vendor setup in QuickBooks before importing your vendors into IntelliTrack; see "QuickBooks Customer and Vendor Setup" for more information. This is most important for the address importing.

Synchronize Customers

Click to manually import QuickBooks customers into IntelliTrack. The customers will populate the Customer list at the Manage Customers page.

Important: The fields in the customer record in QuickBooks are mapped to specific fields in the customer record in IntelliTrack. For best results, we recommend that you check the customer setup in QuickBooks before importing your customers into IntelliTrack; see "QuickBooks Customer and Vendor Setup" for more information. This is most important for the address importing.

Synchronize Receiving Orders

Click to manually synchronize IntelliTrack Receiving Orders and QuickBooks Purchase orders.

Synchronize Picking Orders

Click to manually synchronize IntelliTrack Picking Orders and QuickBooks Sales Orders.
