Posting Orders with the Plugin

Orders may be exported to QuickBooks Desktop manually at the Invoices & Receipts tab in the Plugin.

Important: When you use the manual posting option, the orders are not posted during an auto sync. The orders must be manually posted from the Invoices & Receipts tab in the Plugin.

Manual Posting

To set up the IntelliTrack QuickBooks Plug In for manual posting, follow the steps below.

  1. To use manual posting, go to the QuickBooks Plug In\Basic Configuration tab.
  2. Mark the Manual Posting to QuickBooks checkbox.
  3. Click the Save Configuration button to save the setting.

Dispatching Orders

To manually post an order or orders from the Invoices & Receipts tab, follow the steps below.

  1. If you do not automatically sync the data (via a set sync interval at the Configuration tab in the Plugin), sync the order data. Click the Synchronization tab and select the Synchronize Receiving Orders button and the Synchronize Picking Orders button. This will sync the receiving orders and picking orders between QuickBooks and IntelliTrack.
  2. Next, click the Invoices & Receipts tab.

  1. To view the most up-to-date list of available picking orders/invoices for posting, select the Picking Orders/Invoices option in the Select Order Type portion of the screen and then click the Refresh Data button to update the available picking orders in the form.

  1. To view the most up-to-date list of available receiving orders/item receipts for posting, select the Receiving Orders/Item Receipts option in the Select Order Type portion of the screen and then click the Refresh Data button to update the available receiving orders in the form.

  1. To post an order, mark the Selected checkbox next to any order that has a Ready status. To select all the orders that are ready, click the Select All button. (To clear your selection(s), click the Clear All button.)

  1. Click the Post button to post the selected orders. While the selected order or orders are posting to QuickBooks, the status bar along the bottom of the plugin will notify you with this message: Posting Orders. When the order is posted, it will notify you with this message: Posting orders completed.
    1. If the order(s) is/are successfully posted, the order status will update to Posted.
    2. If the order(s) post fails, the order status will update to Failed and the Reason field will contain an error message. When the order post fails, the order will not be exported to QuickBooks and the order must be manually reconciled in QuickBooks.


  1. After the order is successfully posted or reconciled, it may be removed from the list. In the Select Order Type portion of the form, make sure the desired order type is selected (Picking Orders/Invoices or Receiving Orders/Item Receipts). Next click the Refresh Data button to refresh the list of orders. The Post button and the Remove from List button become enabled.
    1. To remove a posted order from the list of orders, mark the Selected checkbox next to each order that you want to remove.
    2. Next, click the Remove from List button. The plugin notifies you that the orders are being removed from the list; it also notifies you when it completes this request.
    3. Next, click the Refresh Data button. The orders are removed from the list.
