Asset Check In
Note: In order to perform an asset check in, the role of the logged-in user must include the Check In feature.
The check in transaction returns a checked out asset to its default location in IntelliTrack. After an asset is checked back into IntelliTrack, it is once again available for check out.
When checking in an asset, you may use the Lock feature to expedite asset inventory scanning of assets for check in. You may use the Lock feature to set a default value in a field, or to customize the prompting sequence (if an optional field is not used, such as the UDF 1-4 fields, you may lock the field with a blank value so that you do not have to continually scan it).
To check in assets, please refer to the steps that follow.
- From the Main form, tap the Assets button. The Assets menu appears.
- From the Assets menu, select Check In. The Check In form appears.
- Order# field (required): A Check In order number is required.
- IntelliTrack Mobile RF: In the Order# field:
- If Check In Order Auto-Numbering is enabled for the division: the Browse button appears to the right of the Order# field. Click the Browse button to load the next order number into this field; or, leave this field blank and the next order number will be applied to this field automatically when the Check In transaction is completed. Or, lock this field in a blank state so that you do not have to scan it; the next order number will be automatically applied to each Check In transaction.
- Check In Multiple Assets in the Same Order: when you enter or load the order number in this field, you may lock it into place; when you lock the order number, you are able to check in multiple assets in one order. Please note that the Allow Duplicate Orders for Check In setting must be ON.
- If Check In Order Auto-Numbering is not enabled for this division, enter an order number in this field (the Browse button will not appear). Lock icon: You may lock the order number in this field and check in multiple assets to this order number. Please note that the Allow duplicate order numbers for check in must be ON.
- IntelliTrack Mobile Batch: Enter the order number in the Order# field.
- Checking In Multiple Assets in the Same Order (Allow Duplicate Order Numbers for Check In ON): If you are checking in multiple assets for this Check In order, you may lock the order number by loading the order number in this field and tapping the Lock icon into the locked position.
- Auto-assign Order Number (Check In Order Auto-Numbering ON): lock this field in a blank state; IntelliTrack will automatically assign the next order number to each Check In transaction during batch processing if check-in order auto-numbering is ON.
- IntelliTrack Mobile RF: In the Order# field:
- Asset No. field (required): Enter the asset number for the asset that is being checked back into the Asset No. field.
- UDF01-UDF04 fields (optional): Enter any pertinent information in these fields. If you do not want to use a UDF field, lock the field by tapping the Lock icon to the right of it. When the field is locked, you are not prompted to enter a value in it. The field state will remain locked until you change it.
- Save icon: Tap to check in the asset and place it back into asset inventory in its default location. A Check In transaction is recorded in application history. (If you want to cancel this asset check in, tap the Cancel icon.)
- RF Mode: The asset is checked into IntelliTrack immediately.
- Batch Mode: The asset check in is placed in the Upload Table. It will be checked into the main IntelliTrack database after the collected data is uploaded to IntelliTrack and processed from the Upload Processing page.
Note: The assumed quantity for an asset is always one (1), hence, a quantity is not required.
